Scope permissions carefully. CME separates read permissions from write permissions. On the Free plan, access is read/search/sweep only — no drafting or sending on your behalf. Write actions (draft, reply, send, move, delete, flag) require a Pro or Power plan and are always surfaced for review before execution. Start read-only to build confidence before expanding scope.

Identify who owns the connection. For a shared inbox, one person should own the OAuth grant. That person's credentials authorize the connection, and they can revoke access at any time from their provider's connected-apps settings.

Step-by-Step: Connecting a Shared Inbox

  1. Go to Connect My Email and create an account or sign in.
  2. Add a new inbox — select your provider (Gmail, Outlook, Fastmail, Yahoo, iCloud, and others are supported).
  3. Authorize via OAuth (preferred) or generate an app-specific password if your provider requires it.
  4. Copy your MCP connector URL and paste it into your AI assistant's connector settings.
  5. Start a conversation with your AI assistant and confirm it can see your inbox by asking for a summary.

That's the whole setup. No daemon to run, no SDK to install. The connector is hosted — your AI assistant calls CME's tools over the network, and your credentials stay server-side.

Example Workflows

Once connected, your AI assistant can handle a range of real team tasks through natural conversation:

Triage unanswered threads:

"Which emails in the support inbox haven't received a reply in the last 48 hours? Group them by sender."

Identify high-volume senders:

"Who are the top 10 senders by volume in the last 30 days? Which ones have we never replied to?"

Surface escalations:

"Find emails with the words 'urgent', 'escalate', or 'frustrated' from the past two weeks."

Prepare a follow-up list:

"Find all emails from leads where our last message was sent more than 5 days ago and there's been no reply."

Simulate a cleanup before committing:

Safety and Privacy Notes

CME does not maintain a secondary archive of your inbox. Messages are fetched when needed; metadata may be indexed and feature-specific content retained as described in the privacy policy. Write actions — drafting, replying, sending, moving — are never executed silently. Your AI presents a summary and waits for your confirmation before any action with side effects is applied.

For shared or sensitive inboxes, staying on the read-only plan is a reasonable starting point. You can review sender stats, search for patterns, and simulate cleanup without giving write access at all. When you're ready to take action, upgrading to Pro adds write capabilities with review gates intact.

Revocation is straightforward: remove the OAuth grant from your email provider's connected-app settings, and access is cut off immediately.

FAQ

Can I connect more than one team inbox?

Pro supports up to 3 inboxes and Power supports up to 10. If your team has separate inboxes for support, sales, and ops, you can connect all of them and work across them in your AI assistant.

Do write actions happen automatically?

No. All write actions — drafting, replying, sending, moving, deleting — are gated. Your AI will describe what it intends to do and ask for your approval before executing. Nothing is sent or deleted without explicit confirmation.

Is this suitable for a Google Workspace or Microsoft 365 environment?

It depends on your organization's third-party app policies. If your workspace admin has restricted OAuth app installs, you'll need either admin consent or an app-specific password as an alternative. Check your provider's admin console before connecting.

What's the difference between archive and delete in CME?

CME defaults to archive-first language. When your AI assistant "cleans up" email, the default behavior is to archive rather than permanently delete. Permanent deletion is a distinct, explicitly confirmed action.

Can I use this for a role-based inbox like support@ or info@?

Yes — as long as you authenticate with an account that has access to that inbox. Delegated access or shared mailbox setups vary by provider. For Gmail, a delegate account works; for Outlook, a shared mailbox can be connected if the authenticating account has full access permissions.

What if I want to stop using it?

Revoke the OAuth grant from your email provider's connected-apps settings. That immediately ends CME's access. No data persists after revocation.
